The Opportunity   

 

We are seeking an experienced Senior Document Controller to lead and manage document control across WesCEF’s major capital projects. 

 

Reporting to the Project Controls Lead, this role plays a critical part in ensuring engineering documentation is managed securely, compliantly and efficiently across the entire project lifecycle. You will be the subject matter expert for WesCEF’s Document Management System (DMS), supporting major projects, contractors and internal stakeholders while leading a high-performing document control team. You will be responsible for the following: 

 

  • This is a senior, hands-on role that combines technical expertise, leadership and strong stakeholder engagement within a complex engineering and project environment. 

  • Lead and manage the Document Control team and function across WesCEF’s  complex, capital-intensive engineering projects 

  • Ensure consistent application of WesCEF’s document management policies, procedures and governance requirements 

  • Implement and administer Aconex across major projects, ensuring contractor compliance with DMS standards 

  • Maintain secure, accurate and traceable project document registers, including drawings, design changes and variations 

  • Support Major Projects teams with contractor onboarding and DMS implementation 

  • Deliver DMS training to project managers, engineers, contractors and other stakeholders 

  • Lead internal document management audits and support external audits (including Federal Safety Commission audits) 

  • Manage project handover, close-out and archival processes to ensure correct document retention 

  • Identify and lead continuous improvement initiatives across document control and intellectual property management 

  • Mentor, develop and coach Project Document Controllers, fostering capability uplift and high performance 

  • Build strong working relationships with internal teams, Shared Services and external engineering service providers 

 

About You 

 

You are a seasoned document control professional with strong leadership capability and extensive experience in major engineering or capital projects. 

 

You will bring: 

 

  • Significant experience in document control within large-scale engineering, infrastructure, resources or chemicals environments 

  • Advanced proficiency in Aconex and enterprise-level Document Management Systems 

  • Strong knowledge of document lifecycle management, version control, metadata standards and archival practices 

  • Experience supporting internal and external audits, including safety and compliance audits 

  • Proven ability to lead, mentor and develop a document control team 

  • Strong stakeholder engagement and communication skills, with the ability to influence across multidisciplinary teams 

  • Experience delivering DMS training and onboarding to project teams and contractors 

  • A strong safety mindset and commitment to governance, data integrity and intellectual property protection 

  • Certification in Document Control or Records Management (desirable) 

  • Aconex Administrator certification or equivalent experience (highly regarded)
